The recent conference on Computer Telephony in Las Vegas was a real eye opener. The quality and power of the technology available to the small and medium sized business is simply awesome. Phone systems are now so feature rich that a business can have all of the advantages of a large corporate system at a very realistic price and low total cost of ownership. Why is this possible? SOFTWARE The new systems use software to make feature rich systems that are easy to use and manage.
Click your mouse to listen to your voicemail or to make a call. Give your important clients a password and the phone system will find you without revealing your cell or home numbers. Return calls while listening to your voice mail. Control your phone system via the Web. Connect your business Web site to your phone system. Train your existing staff to manage the phone system.
One other radical change has taken place. The new technology phone systems are designed to integrate into your office network. The people who support this new technology are coming from the computer geek world. Leading edge business system integration companies are expanding, hiring and training staff to meet this new need.
At the leading and sometimes bleeding edge of this technology is IP (Internet Protocol) Telephony. Several companies now offer pure IP telephones that connect into the office data network. The standards in this very exciting area are evolving rapidly. Most systems require proprietary rather expensive IP telephones or your office computer to make a phone call. If the network is disabled so are the telephones. Networks today are quite reliable so for some organizations a solution like this may be attractive. Eventually all phones and our international phone network will be IP based, but this is quite a few years away.
IP based communications between remote offices offer many advantages. The most obvious advantage of communication over the public internet is no long distance charges. This advantage is counterbalanced by the speed and reliability of the public internet. Remote IP communications depend on high quality, high reliability, high speed connections. Issues such as internet service provisioning in this situation are very important. Another less recognized advantage of remote IP communications is reducing the number of lines you need to rent each month from your local phone company. For many companies this expense is quite significantly reduced with an IP solution.
The middle ground and most attractive systems combine IP and analog Telephony in the same system. Such a solution allows the use of low cost analog phones while still offering all of the features available to pure IP systems. These technologies also allow selected phones to be used in the event of a power failure.
In summary, small and medium sized businesses have a great opportunity to streamline their communications without spending a fortune for the system or the support.
